General Enhancements and Fixes• IMPROVEMENT

Bug fixes

  • Fixed a bug that sometimes caused completed forms to show up with an incomplete progress bar on the forms reports.

  • Fixed a bug that prevented you in some cases from deleting a voice recording file for your automated voice reminders.

  • Fixed a bug that prevented certain standardized options on forms (e.g., “other” or “none”) from being translated into other languages. These options will once again appear in the selected language when a patient chooses to complete their form in French, Spanish, Chinese, or Dutch.

  • Fixed a bug that prevented Global Insights users from accessing the global level of grouped single location accounts, even though they had access to all the locations in the group.

  • Fixed the “Text answers” column of the surveys report so it once again shows any text responses patients typed on their surveys. This column was previously showing blanks in certain cases where a patient had written a response. This response was visible in the survey details and PDF views, but was sometimes failing to appear in the summary table.

  • Fixed a bug that prevented the Age field from calculating its value based on the date of birth on a patient’s form in cases where the date of birth was pre-filled.

  • Fixed a bug that prevented you from linking a patient’s referral to their booked appointment in the Referrals section.

Enhancements

  • Accessibility improvements: high contrast mode, additional tooltips, and Tab key support. 

  • High contrast mode: A new option in your user settings increases the contrast of text and backgrounds in areas where white text appears on cyan — like the left navigation menu — making the app easier to read for users with visual impairments or a preference for higher contrast.
  • Additional tooltips: Several buttons that were missing tooltips now have them, improving usability for screen reader users. Banners will also now read out their text without requiring the user to hover over them.
  • Tab key support: Keyboard navigation has been improved throughout the app. The selected element is now highlighted more clearly, elements tab in a more logical order, and tab support has been extended to pop-up windows triggered by actions throughout the app.
  • Improved page selector for tables. In tables like the referrals reports, you can now enter a page number directly and hit Enter or Return on your keyboard to jump to that page, rather than having to click page by page to reach a later one. You’ll also be able to see the last page number, regardless of which page you’re on, making it easier to tell from anywhere in the list of results how many pages remain.

  • Fixed a bug that caused the user logs page to fail to load in certain cases.

  • Added a default date range to the forms reports to speed up the load times. You can override this date range with your preferred range by using the date filter.

  • Improved the strength of user access restrictions in multilocation accounts when a user’s accessible offices are edited while they’re in the middle of an active session.

  • Fixed a bug that prevented certain text messages from appearing in the responsible holder’s chat conversation instead of the minor patient’s. These text messages were correctly sent to the responsible holder, but the way they were stored in Chat made it look like they’d been sent to the child’s contact info instead.

  • Fixed a bug that caused certain message time stamps to always appear in Pacific time instead of your account’s local time zone. These messages were sent at the correct time for your local time zone, but their send time was converted to Pacific time in certain parts of the app, which was confusing.

  • Fixed a bug that sometimes prevented you from deleting users at the Global Insights level.

  • Fixed a bug that caused some misalignment in the date picker used on certain newer pages in the app.

  • Fixed some styling problems that appeared in the Social Reviews section after recent technical updates.

  • Fixed a problem that caused a specific form version’s PDF version to fail to generate if it was missing certain information in optional fields.

  • Fixed a bug with the “Last message date” column in the Recalls section. This date will once again be filled in as expected.

  • Improvements to Broadcast Message Reports. When sending a broadcast message to a list of recipients filtered by appointment date and time, the post-send report exported to CSV now includes each recipient's appointment date and time. This makes it easier to follow up with patients who couldn't be reached due to missing or incorrect contact information.
  • Forms yes/no components now render as checkboxes. In response to popular demand, yes/no components on forms now render by default as a pair of checkboxes, with a checkmark in the box the patient selected. This makes responses easier to skim compared to plain "Yes" or "No" text. If you prefer the previous behavior, you can adjust this in your form settings to show only the selected choice.

  • Fixed a bug that caused the phone numbers to be hidden from the start new conversation search window.

  • We’ve increased the maximum number of appointment types that you can attach to an appointment reminder setting to help reduce cases where you need to create multiple message settings for the same message. This problem only affected offices with an exceptionally high number of appointment types.

  • General security updates.

  • Fixed a bug that caused the scroll bar of your browser to be covered up by the profile panel whenever it was open.

  • Fixed a bug that caused the Wellness Alert report to appear empty in some accounts, even though they had an active wellness survey and patients had submitted results.

  • We’ve re-enabled the Block functionality in Chat now that it’s compatible with the most recent revision to chat conversation statuses.

Bug Fixes

  • When Intiveo sends an auto-reply to a confirmation text message and the response applies to a confirmation reminder for more than one family member, the auto-reply will mention all of the family members so it’s clear to the family which appointments they’ve confirmed. For single appointments, the date of the appointment will once again likewise only be filled once, as intended. These bugs were only affecting a small number of accounts who had an uncommon combination of optional settings enabled.
  • Fixed a bug that was affecting broadcast messages whose recipients were determined via a custom report. If you select a report, you will now always see another drop-down menu that allows you to specify which section on that report should be used as the recipients list for your broadcast message.
  • Fixed several missing translations in the French version of Intiveo’s interface.
  • Fixed a bug that caused automated voice reminder recordings not to be accessible for certain calls. All calls made after the fix have accessible recordings once again.
  • Fixed a bug that resulted in you seeing a permissions error page when you tried to edit an email reminder setting’s content if the reminder content contained HTML or in-line styling.
  • Fixed a bug that made it appear as if a patient’s unsubscription request hadn’t worked after they clicked the unsubscribe link at the bottom of a broadcast message sent via email. The was always correctly unsubscribing the patient, but it led to an error page that may have suggested otherwise. Patients will once again see a success page letting them know they’ve unsubscribed after they click the unsubscribe link in broadcast message emails.

Enhancements • MAJOR ENHANCEMENT

  • We’ve released an update to Intiveo’s navigation menu, and some pages have moved to a slightly different web address. This update modernized an important part of your Intiveo experience, and more pages are now faster to get to or to find in fewer clicks.
Sections renamed in English
  • Notifications are now called Broadcast messages and can be found under the Outreach top-level navigation menu item.
  • Message blasts are now called Manual reminders.
    • The template settings for this feature can be found under the Reminders top-level menu item for appointment-based messaging and under the Recalls top-level menu item for due date-based messaging.
    • To send a manual reminder, look under Appointments > Overview for appointment-based messages and under Recalls > Overview for due date-based messages.
  • Appointment reminders are now found under the Reminders top-level navigation menu item.

  • Fixed a problem that prevented referral partner offices from completing their signup to submit referrals to Intiveo clients.
  • Fixed a bug that prevented referral partners from submitting their referral if its optional contact info fields were blank.
  • Fixed a bug with the Chat system that caused the unread messages counter to cause various pages in the web app to become very slow to load.
  • Fixed a bug that prevented the web app from displaying an appointment’s location on its tile in the profile panel in multi-location accounts.

Enhancements

  • Patients who open your appointment request page will now see your office banner as well as your office name. Previously only your office name was visible at the top of the page, which made it less immediately obvious that this was a legitimate page.
  • Accounts that use Sensei Cloud and Dental EMR for their practice management software can now manually set which appointment statuses Intiveo considered active or inactive on the schedule.

Bug Fixes

  • Fixed a problem that prevented users from unlinking appointment types from form versions. This meant that it wasn’t possible to switch which version of a specific form type was associated with a given appointment type.
  • Fixed a problem that was preventing numbered lists and bullet point lists from appearing correctly in the preview or patient view of a form, even though the lists were correctly rendering on the PDF version on the completed form. You will now see these lists correctly at every stage—form editing, form filling, and form exporting.
  • Fixed a bug that was preventing messages from unknown contacts from appearing in the Chat section for certain accounts, even though they had activated the related Chat setting to allow conversations with unknown contacts.
  • Corrected some translations in the French family grouped email appointment reminder template.
  • Fixed a bug in the Waitlist section that affected accounts who prefer 12-hour time format (e.g. display times as 1:30 pm instead of 13:30). You will now see 12:00 pm listed in the appointment time selector instead of 12:00 am. (Note that the message sent to patients if you selected 12:00 am did correctly show 12:00 pm in the message delivered to the patient—the bug only affected your view in Intiveo.)
  • Fixed a bug that prevented you from selecting a provider for an appointment opening when sending a waitlist message.

  • If you use Forms Enhanced and you integrate a patient’s form into your practice management software, Intiveo will no longer reset your filters on your forms report, which will make it easier to keep your place in your form results.
  • We’ve fixed a bug that was affecting some of the calendar pickers throughout Intiveo’s interface. When you select a start and end date, those dates should be highlighted instead of always highlighting today’s date.
  • For users of Intiveo Voice, when you open a patient’s profile and that patient has no family members in your system, we will no longer show a family members section in that panel.
  • We’ve fixed a bug that was affecting users of the Sensei practice management software, which resulted in duplicate notes being written in some cases when Intiveo received multiple confirmation responses from the patient in a matter of minutes. This was (indirectly) a result of the Sensei API generating internal notes whenever an APT confirmation is processed via Intiveo to their API (e.g. multiple attempts led to multiple processing and multiple internal notes).
  • We’ve updated some of the code related to pulling new Google reviews, which should help Intiveo more reliably pull new reviews into your social reviews section.

General Enhancements and Fixes• IMPROVEMENT

Bug Fixes

  • Fixed a bug in the Surveys section of multi-location accounts that would prevent you from seeing specific survey results in certain cases where you had visited the Global Surveys results page right before accessing a specific office’s survey results page. You will now be able to view results on both pages as expected.
  • Our Forms feature will now generate PDFs with Letter size pages (8.5 in. × 11 in.) instead of A4, which will make it easier to print our forms using some brands of printers in North America.
  • Fixed a bug that caused certain reminders to contain an appointment time that was earlier than intended. For offices using both the Detailed Display Times setting (which lists each appointment start time for that patient on that day) and the display time adjustment setting (which allows you to tell the patient their appointment is X minutes earlier than it is on your schedule), the appointment time was being adjusted twice the intended number of minutes (for example, if you wanted the appointment time to appear 20 minutes earlier than scheduled, we were displaying it 40 minutes earlier than scheduled if you had both of the related settings active). We have fixed this setting interaction, so the intended earlier display time won’t be doubly adjusted.
  • Fixed a bug that resulted in the [Last Name] auto-fill tags to be replaced with blanks when you used a Chat template to fill a message in Chat. Chat templates with the [Last Name] auto-fill tag will now correctly fill the patient’s or contact’s last name when you trigger the template.
  • Fixed a bug that was preventing surveys from being sent to patients when the initial contact method failed but a backup method might have worked. For example, if we tried sending the survey via email but the email address was invalid, we wouldn’t try to send the survey via text message even when a mobile number was available in that patient’s chart. This fix should improve the delivery rates for offices that send surveys via both email and text message.
  • Fixed a minor bug that was causing the sort icon to appear much smaller than intended on the Chat templates setup page.
  • Fixed a problem with appointment reminder settings caused when an appointment type with a symbol (like ~ or *) was included in the setting’s active appointment types. You can now add these appointment types to the active types of an appointment reminder, recall reminder, or form setting without running into an error.
  • Fixed a bug that caused the notification preference settings on the user creation page to reset if you tried to save the new user before filling all of the required fields. If you added the missing information then re-saved, this might have resulted in your saving the wrong preferences for the new user if you didn’t notice the reset. The selected notification preferences will now be retained even if you’re booted back to the Add New User page after saving because you have to fill in missing information.
  • Fixed a tooltip (for the Telephone field in the Account settings) whose content would extend beyond the edge of the browser window with certain screen widths. The tooltip content will now reflow to a second line so we can display the whole message within the space available.
  • Fixed a bug that caused you to see a banner telling you that you needed to re-authenticate the VoIP account linked to your Intiveo Voice feature, even in cases where your VoIP account and Intiveo account were properly linked already. This banner should only appear now in cases where we truly need you to sign in to your VoIP account again to authorize Intiveo’s link to your phone records.
  • Various other small bug fixes and security maintenance to keep your Intiveo safe and running smoothly.

Enhancements

  • The Social Reviews feature will now accept Y and N in addition to Yes and No to its initial filtering question (“Did you have a great experience?”). You don’t need to make any changes to your settings to begin accepting these answers, but if you want to mention Y and N instead of Yes and No in the question you ask to patients after their appointments, you can find this message setting under Social Reviews > Setup > Social Media Message Settings.
  • The Social Reviews and Surveys features will now respect your account’s send hours, meaning Intiveo won’t send Social Reviews or Surveys messages later or earlier than you’ve said you’re comfortable contacting patients. This change will prevent rare problems that sometimes resulted in a message being sent late at night, for example, when Intiveo’s systems became overloaded and needed to catch up later than expected in the day or when a patient had an exceptionally late appointment compared to normal. As with appointment reminders, if a social review or survey message is due to be sent outside of your account’s business hours, it will instead send at the next allowable time (that is to say the morning of the next send day set in your Account settings).
  • We’ve enhanced the results report for Notifications so voice notifications can more accurately display their response as reported by the phone company. If you send a voice notification, this will make it easier to see the result of each automated calls, including cases where there was No Answer on the patient’s side.
  • We’ve completed part of the work on an upcoming improvement to Intiveo Voice, which will be released later this summer. Stay tuned!

General Enhancements and Fixes• IMPROVEMENT

Bug Fixes

  • Fixed a bug that was sometimes preventing offices using Forms Enhanced from integrating a PDF version of a patient’s form to the practice management software. There were certain cases where our system’s timing was a split second off and it would try to add the PDF to the PMS a moment before the PDF had been generated.
  • By popular demand, we reverted a recent change to the destination for form notification emails. When a patient completes a form, if you’ve chosen to receive a notification email for that form version, you’ll receive that at your reception email rather than the administrator email.
  • Added a more descriptive error message for cases where you try to delete a message blast template that has already been deleted. It will now be clear that the template has already been deleted.
  • Removed the checkboxes from the selector tiles in the Incoming Referrals reports since these aren’t used for anything (there are not presently any bulk actions available for referral tiles).
  • Added an additional user permission check for adding a note to the patient note logs in Intiveo, which will prevent users who don’t have permission to add these notes from indirectly creating new ones.
  • Fixed a bug that was preventing users with the appropriate user permissions from editing a group user in groups of single location accounts.
  • Removed a non-functional setting from the office level of multi-location accounts related to contact notes. If you want to stop Intiveo from leaving contact notes in your multi-location account’s practice management software, you can make this change at the global level settings since this setting affects all offices in the account.
  • Recall reminders sent via voice call will now use any custom voice messages recordings configured in your account’s advanced settings (for messages like the initial message when a patient picks up or custom recordings for automated responses like “you have been unsubscribed”).
  • Fixed an alignment problem in success and error banners at the Global Insights level. The text in these banners was aligning to the right side instead of the left.
  • We’ve improved the method we use to update the versions of our forms plugin to prevent outages related to version mismatches, which sometimes occurred with the old method when the old updater would experience a temporary outage.
  • Fixed a bug that revealed settings related to referral management notifications in your user preferences before you had opted to turn them on.
  • Fixed a bug with filtering survey results. When you select a date range, this will always filter by appointment date (rather than submission date) to make the results returned more predictable even in cases where patients needed to be reminded a few times to complete their surveys. This behaviour should now be consistent across the various Survey section pages where you can filter results.
  • Fixed a bug with the automated cancellations feature that occurred when a patient tried to cancel an appointment that was in the past or that had already been removed. These patients will now see a more descriptive error message that suggests these possible reasons why this most recent appointment cancellation didn’t go through as expected.
  • Fixed a bug that caused the unread notification dots for referrals to disappear once you navigated to the section with unread updates. When you navigate to a stage like New Referrals or Appointment Booked, the relevant selector tiles in that section will continue show their unread dots until you’ve opened them, which means you won’t have to click through them all to find the new information.
  • Fixed a bug with referrals that caused your view to reset back to page 1 of the results in a recall status bucket whenever you moved one of the referrals in that bucket to the next or previous stage. You should now remain in the same bucket on the same page so you can continue making your updates to other referrals in the same status without having to re-select the page.
  • Fixed a bug with the Chat system that resulted in confirmation responses not appearing in the Chat history. Although the system should process these automatically without causing the patient’s chat tile to appear, if you do open that patient’s conversation, you should still be able to see that the patient replied to the automated confirmation reminder, along with our system’s automated response. This fix ensures those messages are added to the conversation history once again, as expected.
  • Fixed a bug that could allow certain technically sophisticated users to mark a wellness check survey as reviewed even if they didn’t have the appropriate permissions.
  • Fixed a bug that prevented you from sending a waitlist offer to patients in their preferred language if you added new recipients to an existing waitlist after opening the existing offer via the calendar view in Intiveo.
  • Fixed a bug that caused appointment times in certain reports not to appear in your account’s preferred time format (e.g. 1:35pm vs. 13:35)
  • Fixed a bug with the Forms feature that caused the Sent Time for certain accounts to be converted into the wrong time zone. You should always see the sent time for a form converted into your local time, rather than the UTC time zone.
  • Fixed a bug with the drop-down menus in Chat. These should no longer be cut off by table headers or other page elements and you should be able to select any of the drop-down menu options, as expected.
  • Removed the “Pending” filter option from the Calls page filters for accounts using Intiveo Voice. This call status was deprecated after we created the Callback Tasks page, so it wasn’t returning any results when applied on the All Calls page.
  • Fixed a user role error that required you to have Full Access permission to Patients to clear certain conversations from Chat. This action will now check for your user’s Chat permissions, as intended.

Enhancements

  • Completed a version update to one of our code libraries that will help ensure our app’s code stays secure and modern
  • We completed some foundational work on new components and pages for an upcoming enhancement to the recently released Intiveo Voice feature. Stay tuned later this summer for more information.
  • Made some updates to the sign-up page for adding yourself as a new referral partner office so that the requirements are clearer and so that it’s more obvious how to add a referral provider (i.e. how to add a doctor as a referring or treating provider).
  • We’ve added your office banner and a more descriptive instructional message to the CAPTCHA page that a patient needs to complete before they can access a standalone form
  • Your office banner will appear at the top of the page to reassure patients that they’ve reached the right site

  • Added settings related to an upcoming enhancement to the Chat system, which will be available later this summer.
  • Enhanced the part of our system that processes incoming text messages for appointment cancellation messages so it more accurately handles emoji replies to our automated messages. For example, if you long press on one of our automated messages that contains the word “cancel” to explain how to reply if you want to cancel your appointment, the emoji response will now much more rarely incorrectly trigger the cancellation request. This was happening because the text message reply when you do this on your smartphone actually looks like Replied 👍 to “Hi, James. This is a friendly reminder of your appointment on Wed, May 1. We'll message again closer to that date to confirm, but you can also text back “cancel” if you need to reschedule.” Because the quoted text contains the expected cancellation keyword, our system was picking up on the keyword and making the related change, instead of paying attention just to the emoji reply, which is actually the new part of the message the patient intended as their response.

General Enhancements and Fixes• IMPROVEMENT

  • Fixed an error with the results report for notifications: you will no longer see contact info columns for unrelated contact information. For example, if the notification was sent via text message, you will no longer see an email column on the report of recipients.
  • Fixed two bugs with Surveys: a blue box will no longer appear behind your office’s banner while the patient is filling the survey, and if you have the Contact Us form option enabled, patients who submit a negative survey will see this contact form after submitting their survey, as intended.
  • If Intiveo detects new appointment types in your practice management software and they haven’t been linked to appointment reminder settings, Intiveo sends an email to your office to alert you so you can link them to ensure those types of appointments receive reminders if you’d like them to. Previously this email was sent to the reception email, but we’ve updated the recipient so the administrator email address will receive this email to ensure accounts with a no-reply address for reception receive the message.
  • Fixed a bug that caused an unread badge to appear on notes or files added to an Intiveo referral by an account’s own group user. Regardless of the type of user, you should no longer see an unread badge for notes or files added by your own office (just those added by your partner office).
  • Various small security improvements across the system to ensure that our code takes advantage of the latest versions of our programming languages to keep your data safe.
  • Fixed a display bug in the Referrals reports that would sometimes cause the selector tiles to glitch and become less usable when you had a tile selected then performed a search or filter action.
  • Updated some of the safeguards on send-right-away appointment reminders to allow you to edit the content of the reminders while your account is approved and the settings are active. These message settings have several safeguards unique to this time of sending to prevent unintentional queuing or re-queuing of messages when the settings are updated, but the message content can always be safely updated, so you can now do this without having to request a temporary pause on your messaging.
  • Fixed a bug with the Intiveo Voice feature that would sometimes show an unknown caller’s name as “undefined undefined” if that person had previously also texted your office as an unknown contact. These callers will now be identified as “Unknown Caller” as intended.
  • Sections in the profile panel of the Intiveo Voice feature will now be hidden if empty to reduce visual noise. For example, if a patient has no family members, we will hide the Family Members section in their profile panel so you don’t have to scroll past blank data points to see a patient’s booked appointments, etc.
  • We’ve added several new form types to make it easier to link multiple forms to the same reminder for automated sending and to make it easier to find your form results, without having to resort to hijacking an unrelated form type for types of forms that Intiveo previously wasn’t designed to handle. You can now add these types of forms to your account:

  • If a patient goes to complete a standalone form linked to your office, they will now see your office banner and an explanatory message on the page that asks them to solve a CAPTCHA before proceeding. This important anti-spam measure should now be less surprising or confusing as patients have context for both which office this relates to and what will come next after they solve the CAPTCHA, enhancing patient trust. The explanatory message will appear in all languages enabled in your account, and the CAPTCHA and Continue button will try to match the preferred language enabled in the patient’s browser (if available in your account).
  • Fixed a bug with the survey previews that prevented users from seeing a preview of the options enabled on the after-submission page. These previews are important as they help you understand what patients will see on that page if their response was positive or negative, according to the settings you’ve enabled for that survey. You’ll correctly see options like the Contact Us form or the social review link for negative or positive surveys, respectively, if you’ve enabled them for that survey.
  • We’ve fixed a bug with the input mask date entry option for Forms. The Safari browser was not accepting February for the month when this method was enabled on the form. Patients will now correctly be able to enter 02 for the month, even on devices that use Safari, like iPhones and iPads.
  • Initial work on various upcoming enhancements. Stay tuned for more information later this year.

  • Intiveo Voice is now live! This new communication integration brings call information from RingCentral into Intiveo to provide a powerful new way to engage with your patients. Here’s a quick rundown of the parts that make up the feature:

General Enhancements and Fixes• IMPROVEMENT

  • Fixed a bug that made it impossible for certain patients to unsubscribe on their own from text messages if the first message they received from Intiveo was a notification whose recipients were determined by a CSV spreadsheet. This was only affecting patients who had otherwise never received a text message from Intiveo; other patients were able to unsubscribe as expected.
  • Group users who leave notes on their referrals in Intiveo will no longer trigger an unread pill on that referral for colleagues from their office. As intended, an unread pill will only be triggered on the other office’s side.
  • Fixed a bug with the unread pill that appears on the navigation menu item for Referrals while you’re in the Referrals section itself. This pill will remain even while you’re in the section so you can still hover over it and see a summary of how many new referrals or recent updates you have left to view. (This is in addition to the dots that indicate where to find these changes. The navigation menu pill differs because it adds up the numbers for you.)
  • Various other small security improvements and small bug fixes.
  • Bug Fix: Voice notifications will once again track the recipient's response as expected. For a time, the system was marking all voice notifications as "human answered" rather than accurately reporting if the call instead went to voicemail.
  • Bug Fix: This change adjusts an unintended behaviour with the calendar picker in the call logs pages, which are part of the Intiveo Voice add-on feature. Users will see the current date when they open the calendar picker instead of the start date of the previously selected range. This change will make it easier to orient yourself when you go to select a date.
  • Bug Fix: Users will no longer see an error message if they try to unsubscribe from referral managment alert emails when they were already unsubcribed. If a user unsubscribes again, they should see the unsubscription success message again to make it clear that they are unsubscribed.
  • Bug Fix: Multi-location accounts will generate a referral token the first time the feature is activated, as intended. While this functionality was working fine for single-location accounts, multi-location accounts were unable to use their referral portal link because of this missing token.
  • Bug Fix: Francophone users will once again be able to add referral procedures in their Referrals section settings, as intended. Previously they would receive an "Unable to update procedure" error message when they tried to add a new one.
  • Enhancement: This change makes it possible for users with the Intiveo Voice add-on feature to click phone numbers in the Tools panel in Chat the same way that they would in the profile panel. This brings its behaviour in line with phone numbers on other pages in the app, delivering a more consistent and predictable experience.
  • Enhancement: This change adds a tally pill to the Calls option on the left navigation menu for accounts that have the Intiveo Voice add-on feature. This tally alerts users to missed calls from the past 3 days that they may need to follow up with. Users can hover their mouse over the tally number to see a tooltip explaining the number.
  • Enhancement: If a user marks a missed call as followed up with, other users who happen to be on the same page but on different computers will also see that missed call's checkbox as ticked without having to refresh the page.
  • Enhancement: New tile in the Tasks tab of the profile panel that appears if a patient answers "no" to the Social Reviews message that asks whether they had a great experience. Users will see the task tile if the patient gave a negative response within the past 30 days. This feature is available for those who use the Intiveo Voice add-on.

  • Fixed a bug with Chat that prevented you from starting a conversation via the Send Message button in the Patients section in certain circumstances where the patient had previously been removed from your Recent Conversations list.
  • Fixed a bug in the Chat interface for multilocation accounts, which caused conversations that had been “taken” by a second office to reappear in the first office after the first office refreshed the Chat page. If a second office takes over a conversation—they reassign it to their own office instead of the one the patient was talking to—then the conversation will now be hidden from the first office and stay hidden, even after a page refresh. (The first office can, of course, take it back, but they’ll have to deliberately re-start the conversation at their office. They’ll no longer see it as active at their location while it’s actually assigned to another office.)
  • Fixed a problem that prevented users from bulk clearing contacts from Chat. Users can now use the checkboxes and clear button to remove multiple conversations at once from the Recent Conversations list.

🥼2-Way Referrals IMPROVEMENT

  • We’ve updated the search bar in the Outgoing Referrals section. You can now search their existing outgoing referrals by referral ID (in addition to the first and last name search that was already available).
  • You can now search your existing outgoing referrals by referral ID in addition to the existing option to search by patient name.
  • Fixed a bug with the sort order on the Existing Referrals page of the external referral portal. By default, referrals listed on this page will now be sorted by submission date, with the most recently submitted at the top.
  • We’ve improved the unsubscribe link functionality for external referral accounts. If a user unsubscribes, only their email address will be removed from their office’s referral notification recipients (instead of removing all recipients and turning off the referral notification emails for their external referral account altogether).

General Enhancements and FixesIMPROVEMENT

  • We’ve updated the maximum allowable inactive logout time for all users to 30 days in place of the previous Unlimited option. This just means that if you’ve been logged in for 30 days without visiting Intiveo, you’ll automatically be logged out and have to log in again the next time you load Intiveo. This is a minor improvement to security that will help cases where, for example, your office is closed for a month or more (e.g. for renovations) or cases where you recycle a device and forget to wipe it before disposal.
    • Most users already have a more secure inactive logout time of 24 hours anyway, so most users won’t notice any difference in functionality.
    • If you’d like to check or change your account’s setting, you can find this under Office Setup > Account > Settings > Inactive Logout Time (for single location accounts) or under Global Setup > Global Account > Settings > Inactive Logout Time (for multilocation accounts).
  • Fixed a problem that resulted in message blasts sent from the Recalls and Appointments sections ignoring unsubscription preferences. As intended, these messages will no longer be sent to patients who have unsubscribed from Intiveo reminders.
  • A swathe of other small bug fixes and minor improvements, including work on some upcoming improvements for Referrals.

  • Fixed a bug with Referrals that resulted in an error when an account would invite itself to send itself referrals.
  • We’ve fixed a bug that prevented you from narrowing down results in your Referrals reports using both a first and last name. You can once again type both names in the search bar to show only the patient who matches both names.
  • Continued work on an upcoming previously announced enhancement for Referrals that will make it easier to find the referrals that have updates like new notes or files to be downloaded. Keep an eye out in September for more information.
  • Fixed a bug that caused referrals from external receivers to be treated as if they were from the referral sender. This was affecting whether a note was marked as unread since we don’t mark an office’s own notes as unread (i.e. internal senders were seeing notes from external receivers marked as auto-read because the system thought the internal sender was the office that left the note—the notes were still visible, just not highlighted as new like they should have been).
  • Fixed a bug that caused referral notes from external offices to be automatically marked as read before anyone actually read them. These should now only be marked as read after a user from the partner office (i.e. your office) views the note.

:clipboard:Intiveo Forms IMPROVEMENT

  • Fixed a bug that prevented you from sending a standalone form to certain patients in some accounts. Patients with a negative patient ID can now be sent standalone forms.
  • If you tried to access the preview link of one of your Intiveo Forms without logging in, you would run into an error page. We’ve corrected this so you will be able to see the form preview as intended without having to log in.
  • We now offer Forms Enhanced functionality for axiUm! This means if your organization uses axiUm for patient scheduling and charting, you can now subscribe to the Forms Enhanced add-on to pass information from your Intiveo patient forms directly into axiUm, improving efficiency and reducing transcription errors for the supported fields.
    • Currently, we can integrate information into a patient’s personal tab—first name, last name, phone numbers, email, and address.
  • We’ve updated the Form result preview modal to allow you to download forms that are marked 95% complete or higher. This will make it possible for you to download forms that are complete but that a patient forgot to submit as well as other cases where a patient gets close enough for your purposes.
    • We’ll give you a reminder that the selected form isn’t marked as 100% complete so you can double check that you have all the information you need before downloading or integrating your patient’s form to their file.

    • We’ve also made similar updates to the Insights page confirmation metrics to show just Intiveo confirmation rates rather than the previous faulty blended rates, which were considering confirmable appointments and both manual and Intiveo confirmations, which would sometimes result in confirmation rates >100%
  • Fixed a Social Reviews bug that prevented new reviews from being scraped and added to certain accounts' Social Reviews records in Intiveo.
  • Fixed a bug that caused some appointments in axiUm to be ignored in Intiveo. axiUm appointments with a blank appointment type can be handled by having Intiveo Support manually add BLANK and appointment types to your account and message settings.
  • Fixed a bug with the Appointment Request links in recall reminders. After a patient requested an appointment via their recall reminder link and that request was updated to Appointment Booked, if the patient returned to that old recall reminder later to request a new appointment, that request was just updating the day and time of day on the original request, which was now marked Appointment Booked. We’ve fixed this behaviour so any request submitted via the original link will create a new request (and an associated notification to you if that’s active in your user preferences). If the patient accidentally creates a duplicate using this method, you can simply mark the extras as removed.
  • We’ve fixed a bug that prevented you from accessing your support tickets while you were in the Chat section specifically. While support ticket access was working everywhere else in the app, you’ll once again be able to access support tickets while viewing Chat, as intended.
  • Fixed a bug that briefly caused a general app slowdown for certain accounts on September 18 and 19.
  • Fixed an incorrect status search in the Overdue and Due Soon reports in the Recalls section. We’ll now be able to correctly show recall due dates with a booked appointment in more cases.

  • Fixed a bug with the language selector in the Forms builder. If your form is available in more than one language, then in the form builder you can once again select the option for English after switching to one of the other languages.
  • Fixed a bug that caused certain integrated fields to still overwrite the values in your scheduler even when the related fields on an integrated form had had their join identifiers removed. If you use Forms Enhanced and want not to update certain fields in a patient’s file when integrating their new patient forms, you can now remove the join identifiers from the relevant fields on the form to have our app ignore these fields when Intiveo integrates with your scheduler. Note that if a field’s join identifier has been removed, this will also mean patients won’t have that field pre-filled when they first open the form.
  • We’ve made some significant updates to the Archived Forms page. This page now requires an initial search before it will show a much narrower list of results, which should greatly improve load times and prevent some previously broken preview and download functionality.
    • You can search for forms initially using the patient’s name, the submission/completion date, or the appointment date. For date searches, you can search for a range of up to a week at a time to ease the effort required to find a specific form when you can’t remember exactly when it was submitted or when the patient had their appointment.
    • After making an initial search, you can further narrow the results using a set of secondary filters that is catered to make sense based on the first search term you used.
  • Fixed a bug with Forms that made it impossible to send a standalone form directly to a patient if the patient preferred Chinese and you had a Chinese language version of your form already prepared. You’ll once again be able to send a standalone form in Chinese.

This will help reduce confusion and frustration when merging a contact with a patient because sometimes it looked like nothing was happening after you clicked the merge button.
  • Fixed some spacing issues in the Chat section to make sure buttons and other elements aren’t squished into the side of the interface.
  • Fixed some mismatches in the unread chat message count displayed on the left sidebar in the Chat section and other sections in the web app. The counts should be the same regardless of which section you’re in.

  • Fixed a bug with the language selector in the Form Builder interface. If you’re working on a multilingual form, you can once again switch the language displayed on the builder’s layout preview/editor instead of having to switch to the Translations tab to see alternate languages.
  • We’ve added a loading spinner to the form result preview modal so you don’t temporarily see the last previewed form result while the new one is loading.

Security

  • For security reasons, we’ve removed a plugin that maintained compatibility for our app with Internet Explorer 11 and earlier. If you are still trying to access Intiveo via Internet Explorer 11 or earlier, you’ll need to update to Chrome, Firefox, or Edge. These browsers are free to use and offer a more secure experience for you and your patients.
  • Ongoing security and performance improvements.

  • Fixed a display bug with the setting that controls whether to include the unsubscribe option in voice messages. It was showing as OFF even when it was ON.
  • Fixed a bug with the Sent Date filter in the Watilist feature. You should now be able to filter with this correctly.
  • Fixed some missing arrows in the calendar selector used on several pages to set custom date ranges. The arrows used to jump forward or back to different months are once again visible.
  • Fixed a bug with an invalid tag warning that sometimes appeared for valid insert tags when creating a new appointment reminder setting.

🥼2-Way Referrals IMPROVEMENT & NEW 

  • We’re excited to release the 2-way Referrals enhancement to all current Referrals subscribers. This update adds several highly requested improvements to Referrals and makes the feature useful for general practitioners as well as specialists. If you don’t currently subscribe to Referrals and want to learn more, visit the Add-ons page in Chat.

  • We’ve fixed a problem with the unread pill in Chat for cases where a conversation is active but Allow patients and contacts to start conversations is OFF. Unread pills should appear correctly for these conversations once again.

  • We’ve fixed a bug that prevented line breaks from being display correctly in the Chat history for newly sent messages. Patients and contacts were always receiving the correct message, including the line breaks, but you would see the message initially without the line break until you refreshed the page. The message that appears in the chat history directly after sending will now include the line breaks as intended.

  • We’ve corrected the sort order for the Forms results report in cases where you filter by appointment date and time.
  • Fixed a bug that caused a misleading error message to appear for Dentrix Forms Enhanced users if their Intiveo Assistant app helped with a form integration (rather than the server app). Integrated forms will show a success message even when the form is integrated via Intiveo Assistant rather than the server app.

  • We’ve fixed several bugs related to the upcoming 2-way Referrals enhancements.
  • We’ve added a language selector to the external referral account creation page so your referral partners who don’t use Intiveo for their patient communication can complete the form in their preferred language (English or French) even if you send them an invitation in the wrong language.
  • Fixed a spacing bug that sometimes cut off the left and right sides of status message in Intiveo’s outage or warning banners on smaller screens. The text will once again have the appropriate spacing.
  • Fixed an incorrect error message that was preventing you from saving recall reminder message setting edits if the setting had the Use Group option active. You can once again edit these settings without having to deactivate this option.
  • We’ve added the option to select a new office’s preferred language via the Add an Office modal in the Referrals section’s Linked Offices page. When you add a partner office, you can now specify whether to send the invitation email in French or English.

  • Fixed a bug with unread chat message pills that meant sometimes an unread message pill would appear because of messages from contacts whose conversations were paused or inactive. Messages from contacts with a paused conversation will no longer trigger an unread message pill
  • Fixed a bug with the edit modal for chat templates that caused the modal to close if a user highlighted text in one of the fields then released the mouse button outside the modal.
  • Fixed a bug that was causing contacts who didn’t have an active conversation to still be displayed in the conversation selector panel on the left side of Chat. These contacts will no longer appear in your selector panel after their conversation is cleared from Recent Conversations.
  • We’ve fixed a bug that made it look like patients and contacts who shared a blank phone number were related. The warning banner in the centre panel of chat that gives you a heads up when a patient and contact share a phone number will no longer give a false positive because of blank phone numbers.
  • We’ve squished another bug related to the chat template editing window closing itself inappropriately while you’re trying to edit your chat template.

  • We fixed a bug with the Yes/No toggle switch on Forms. When a patient clicked Yes, for a brief period, the circle indicator would float off the page. This switch will now stay put and indicate the Yes position as expected. (The PDF export of the completed form was unaffected—it was always correctly showing yes or no.)

General Enhancements and FixesIMPROVEMENT

  • We’ve updated the detailed view for incoming referrals so that you can now move a referral back in the stage flow if a patient cancels their appointment or if you accidentally update the wrong referral.
    • Moving a referral back to Contacted will remove any appointments linked to that referral
    • Moving a referral back to New Referral will also remove any patients linked to that referral
  • Fixed a problem with the external referral portal that was preventing you from adding new receiving or sending providers using the Enter key on your keyboard.
  • Fixed a bug that would show you the wrong error page if you tried to log in to the external referral portal with the wrong credentials. If you enter the wrong username, password, or phone number, you’ll instead be shown an appropriate error message prompting you to try again, rather than a generic dead-end error page.
  • We’ve updated the external referral portal to take advantage of the new French referral procedure names for users who prefer French (instead of English). When an external user creates a new referral or views an existing referral, if their user preference is for French, the referral procedure will appear in French.
  • We’ve relabelled some of the horizontal navigation tabs in the Referrals section to make it clearer where you can find what. This will make it easier to find what you need to, regardless of whether your office more often sends or receives referrals.
  • On your Outgoing Referrals pages, you can now click View Slip to view the details of a referral you sent to another office (procedure, case notes, tooth chart, etc.) without having to download a PDF version.
  • We’ve updated the Referrals feature to send you an alert email whenever a new referral is submitted to your account. You can make sure your user is subscribed to referral email notifications in your user preferences to receive the updates. External referral portal users can sign up one or more email addresses to referral notifications in their office setup.
  • We’ve enhanced the Referrals feature for multilocation accounts so you can link a referral at any office in your company to an appointment at any office. This means that referrals will no longer get stuck if the patient books their appointment at a different location than their referral was submitted to.
    • Note that this enhancement does not currently extend to grouped single-location accounts. You can contact our Support team if you’re uncertain whether your account can use this feature.
  • Fixed a problem that was preventing Social Reviews messages from being sent to patients as expected in cases where a survey was sent to that patient via text message within the timeout period for Social Reviews (that is to say within the last 6 months). Social Reviews and Surveys will use separate timeout tracking as intended—a recent Surveys message can cancel out another Surveys message but not a Social Reviews message, and vice versa.
  • Fixed a bug with the default filters on the Linked Offices page of Referrals. A broken sign-up date filter will no longer be active by default when you access the page.
  • We’ve fixed a bug that was preventing some accounts from sending large groups of Waitlist messages at the same time. You should once again be able to send packs of 300+ Waitlist messages if you want to.
  • Several other bug fixes and minor enhancements.

  • We’re putting the final polish on Intiveo Connect, the new enhancement coming in April and May that will allow you to chat with people who aren’t in your patient database.   • Put the final touches on the new Intiveo Connect enhancement, which will allow you to chat with people who aren’t in your patient database. We are now beginning to roll this feature out to select clients, with successive waves of additional clients to come in the following weeks. The wide majority of clients will find themselves automatically upgraded to this feature by the end of May. Past that point, if you still see restricted parts of your Chat interface, you can speak to Intiveo’s Support team to discuss what changes to your package you would need to make if you’d like to use this feature.
  • Fixed a bug in the Global Chat section of multilocation accounts that would sometimes cause booked appointments to appear in the Cancelled tab of the appointments tool panel. Global Chat will now correctly show you booked appointments for all locations you have access to in the Appointments pane of the Chat tools panel. (The office-level equivalent was already working as expected.)
  • Fixed a bug that caused the link in a “new chat message” notification email to lead to a dead end if you didn’t have the office where the message was received selected as your current view. This link will now first select the correct office for you, then direct you to that message in Chat.

  • We’re also testing out an improved form editor in the Forms interface, which will make it easier to build and edit your Intiveo forms. We’re continuing to test before releasing this more widely, but if you’d like early access, feel free to reach out to Intiveo’s Support team.
  • We fixed another bug that would sometimes leave a form’s completion rate at 99% after a patient had submitted the completed form. The Submit button will now be disabled until Intiveo has registered and saved the patient’s progress on any required questions on the form. This will prevent cases where a patient’s last required response and submission are recorded at the exact same moment, which was causing our system to mark the form as 100% complete then immediately knocking it back to 99% when the progress on the final required question was saved.

General Enhancements and FixesIMPROVEMENT

  • We’ve updated the referral timeline for external users so it’s more obvious what steps your office is taking to move their patient through the treatment process. This updated timeline makes it more obvious that the current task is in progress rather than complete, which should make it more intuitive to understand what steps still remain.
  • Fixed a bug that affected SenseiCloud and WinOMS users from sending certain patients standalone forms because of the way it stores a negative patient ID for certain patients. Our system can now correctly interpret these negative patient IDs and send the related patients a standalone form as expected.

  • We’ve fixed a bug that prevented you from creating new message blast templates if your account only uses French messaging.
  • We’ve fixed a bug that resulted in the Download button for images in Chat to disappear. Once you click the image preview to view a full-size version of the image, you’ll once again see the Download icon in addition to the Delete icon that was already there.

:clipboard:Intiveo Forms Enhancements IMPROVEMENT

  • Fixed a problem that resulted in some incomplete forms appearing in the Forms reports as though they had been completed. Before a form is submitted, it should never appear 100% complete.
  • We fixed a bug that resulted in re-sent forms being delivered from support@intiveo.com instead of emailer@intiveo.com. The friendly name for the sender (which is what most patients actually look at) will still be your office’s company name (or the head account name for multilocation accounts with the Use Head Account Name option turned on), but we use emailer@intiveo.com as the email sender for reliable spam filtering performance. The reply-to email will still be your office’s reception email, as usual.
  • We fixed a bug that sometimes included an error message about a licence requirement on a small number of forms completed via Intiveo. If you have a form result that includes this message, feel free to contact Intiveo support and we can generate a new version for you that doesn’t include this message. Future form results will not include it.
  • We’ve added validation to the Send to Patient window in Forms so you can’t attempt sending a form via a contact method that is blank or obviously incorrect for that patient.
  • We’ve fixed a bug that caused the sending times for Forms to appear in Pacific time and 24-hour time instead of your account’s time zone and preferred time format. The send time in the forms report will consequently now match the Chat timestamp if a form is sent via text message since Chat is already converting the time as expected.

General Enhancements and FixesIMPROVEMENT

  • We’ve fixed a bug that allowed you to save a new survey with a blank survey name, email subject, email body, or text message body. You will once again be prompted to add these before saving if you try to save a survey while one or more of these is blank.
  • We’ve improved the message selection logic for custom reports on undeliverable messages. You should see fewer cases where the system displays a queued job in this report section in cases where an earlier email or text for the same appointment met the report criteria. Displaying the matching message (that is to say the one that was actually undeliverable) will make it more obvious why that patient is displayed in that section reporting on undeliverable jobs.
  • We’ve fixed the table summarizing saved Global Insights reports so it includes any specialty filters included in that saved report.
  • We fixed some styling problems with scroll bars in several parts of Global Insights.
  • We’ve fixed some missing translations on the French login and password reset pages.
  • We fixed a problem that sometimes prevented you from updating your alert email subscription preferences on the My Profile page.
  • If you use a multilocation account and one of your offices is in the Manual account status, that office will be labelled with its account status in the location selector drop-down, the same way a Pending account is. Accounts in the Manual status will not send automated appointment or recall reminders but can still send scheduled notifications if you’ve chosen to activate them.

     

  • We’ve added an info banner to region reports to let users know if some of the offices on a report are hidden due to the filters they have applied, which should reduce user confusion if they’re looking for an office that’s being filtered out, for example, due to a mismatched specialty.
  • We’ve fixed a bug that prevented you from selecting a name in the Provider drop-down menu in the New Waitlist flow.
  • We’ve added options for custom date filters to the Insights tabs of Global Insights. You can now set a custom date range in the Insights tab of the Confirmation Rates, Social Reviews, and Surveys sections of Global Insights.

     

  • We’ve improved the experience for external referral users who become Intiveo clients. We’ll now be able to seamlessly transfer your referrals from your external referral account to your new Intiveo account once it’s ready to use, which will remove any need to recreate referrals created via your old external referral account.
  • We fixed a bug that prevented our patient search from returning correct results whenever you searched for a patient with a space in their first or last name. Patients with a first name like John Paul or a last name like Jones Smith can now be found in the search results.

     

  • We fixed a bug that prevented you from seeing the coorect value if you saved your office send hour settings on the half hour. Values like 8:30 or 9:30 were correctly saved on the back end but misleadingly displayed as on the hour (e.g. 8:00 or 9:00). The front-end value will once again agree with whatever back-end value you save.

     

  • We’re approaching the end of development on an enhancement to our Chat system coming later this spring. In about a month, we’ll commence final testing, so stay tuned for more information as we prepare to reveal what’s next.
  • We’ve released two upgrades to the Global Insights feature:

     

  • We’ve added custom date filters to the Executive Summary page of Global Insights. You can now limit the data displayed using a custom date range instead of just one calendar quarter at a time.

     

  • We’ve updated the Reports tab in the Confirmation Rates section so it includes a new Confirmable column, which is also now used to calculate the confirmation rate value. “Confirmable” appointments are those you’ve asked Intiveo to confirm by sending at least one appointment reminder with the confirmation option enabled. Using this stat to calculate the confirmation rate should bring the Global Insights numbers more in line with the stats reported in Admin, intentionally excluding appointments you’ve specifically asked us not to confirm, so your confirmation rates in Global Insights will no longer appear artificially deflated at offices where staff intentionally confirm many appointments only manually.
  • We’ve fixed a bug that caused you to be logged out in certain cases where you tried to save changes to an appointment reminder setting.
  • We’ve added a new demo feature to the Add-ons pages in Chat. If you want to learn more about an add-on feature before discussing with our team about adding it, you can now see a guided walkthrough of the Forms, Referrals, or Social Reviews features by clicking the View Demo button in the top right.
  • We have added Total rows to the Reports tabs of Global Insights. You will no longer have to manually sum the column totals. Note that these totals will not include pending or manual accounts' results.
  • We fixed a bug that was preventing you from creating new appointment reminder settings with the Send Right Away message send time. You can once again directly create new appointment reminders set to send right away, rather than having to create them as another type of setting then adjust the send time. Note that these messages can only be created while active if your messaging is paused, which helps prevent unintentional mass messaging of future if you add a new send right away message for several appointment types at once. Intiveo’s support team is always happy to help set up or adjust these messages if you need help pausing your account or creating these reminders.

  • We’ve improved the code for to Appointments pane of the Tools panel in Chat so that it will no longer show removed/cancelled appointments under the Scheduled tab. It now better accounts for a wider variation of statuses, etc. that signify a removed appointment in various schedulers.
  • Fixed a bug with how your address is displayed in Chat when you use the [Address] autofill tag to add it in a chat template. Patients were already receiving the address with the correct formatting (including a line return between the street and city), but the address was getting mashed together onto a single line when we rendered it in Chat, which made it appear like we were sending the wrong thing. The message in Chat will now match the message as the patient sees it on their phone, including the line return to make the message more readable.
  • We’ve fixed a bug with the bulk clear functionality in Chat. You can once again toggle on the checkboxes for conversation tiles in order to select multiple at once and clear them all in one go instead of having to click multiple times on each conversation tile to clear them one by one.
  • We’ve fixed a bug with the context menu that appears next to conversation tiles in Chat when you have more than five conversations in the Recent Conversations list and click the three dots icon in the top right corner. The context menu that appears will no longer be floating way down at the bottom of the window—it’ll appear next to the mouse again, as intended.

  • Fixed a bug in the Forms interface that meant you couldn’t hit Enter or Return on your keyboard to start a search—instead you had to use the mouse to click the search button. You’ll once again be able to type your search term and hit Enter or Return to start filtering.
  • Fixed a bug that sometimes resulted in a form result not being found when you went to view it.

     

  • Fixed a bug related to integrating financial agreement forms to your scheduler. These forms should now be uploaded to the scheduler successfully and no longer generate an error message.
  • Fixed a rare case with Forms that would sometimes cause a form to be marked as “Complete” but showing an incomplete percentage in the Forms reports. For example, you should never see a form marked as “Complete” but only 47% finished.

     

  • We fixed an alignment error in Forms. All forms should have a line return between the form’s logo and its title/headers. For a brief time, we were squishing these onto a single line for some forms.

     

  • We’ll now exclude inactive patients from the results when you search for a patient to send a standalone form to. Likewise, we’ll exclude inactive patients when you search for a patient to link to a referral.

General Enhancements and FixesIMPROVEMENT

  • We’ve fixed a bug with Social Reviews that could sometimes result in a patient getting in an infinite loop with the autoresponder if they were stubborn and kept responding with a response that our system didn’t know how to interpret. After the initial prompt (for example, “Did you have a great experinece? Please respond with Yes or No.”), the Social Reviews logic will now only re-prompt the patient to respond with yes or no a single time if the patient sends something unexpected (for example, “Sorry, I didn’t understand. Please reply with Yes or No.”). If the patient again responds with something other than Yes or No, the system will end the Social Reviews flow and pass the message through to Chat so a staff member can read the message and respond accordingly.
  • Fixed a bug with the User Profile page, which resulted in the Appointment Request Notification option being hidden so you couldn’t see it and turn it on or off. You will once again be able to see this toggle switch in case you want to edit it directly.
  • Fixed a bug with the pill on the navigation bar in multilocation accounts that shows how many new appointment requests you have. The number should now remain consistent when you’re on the appointment requests page or away from it—the on-page and off-page calculations for this number have been harmonized.
  • We fixed a bug with the axiUm appointment cancellations feature that resulted in an overly technical error message appearing when a patient tried to cancel an appointment via their reminder email after the cancellation timeout window had already kicked in. These patients will now see the custom descriptive error message you’ve set in your account settings, as intended.
  • We fixed an annoyance with the login process—after you enter your username and click next, the cursor will jump to the next field, Password, rather than resetting to the start of the Username field. This will make the process of logging in more intuitive and frictionless.

     

  • We fixed a bug in the Appt. Completed report that would cause things to get glitchy if you cleared the default filters. The report should never lead to an error page anymore, even if you clear all filters.

     

  • Fixed an inconsistency in Global Insights with the way that accounts in the Manual status are labelled. These accounts will have a Notifications Only badge instead of a Manual badge to make it clearer what this account status means.

     

  • Fixed a date range error with some of the tiles on the Executive Summary page of Global Insights. Some of the tiles were excluding the final day of the selected quarter (that is to say the date range ended at the time 0:00:00 on the end date instead of 23:59:59).
  • We’ve improved the phone number selection logic when manually sending a form. Previously our system was ignoring your contact sequence settings for text messages and instead selecting the Mobile number, even if your account didn’t use that as your primary texting number for whatever reason. The Forms interface will now pay attention to your office’s contact sequence settings and select other numbers in the sequence if the Mobile number either isn’t the preferred number in the account’s settings or if the mobile number is empty for that patient.

     

  • We’ve fixed a bug with Global Insights reports that caused filters from a deleted report to remain active even after you loaded then deleted the report. Filters will now be reset as expected when the current report is deleted.
  • We’ve added a Convert Report enhancement to Global Insights. This feature allows users to quickly create equivalent reports in different sections of Global Insights without having to start from scratch. Users can instantly copy date, specialty, and office filters from reports in other sections to get up and running quickly.
  • We completed the region report in the Confirmation Rates section of Global Insights. You can now aggregate results across offices into a regional view in order to instantly compare the results for different groups of offices.

     

    • To set up your regions and assign them to your offices, go to Settings > Reporting Regions
  • We’ve improved several parts of the Remind Me Again feature, which is an option you can enable in appointment reminder emails to allow patients to request another automated reminder a day before their appointment.

     

    • We’ve improved the automatic cancellation of reminders in cases where the patient has cancelled or moved their appointment after they initially requested another reminder

       

    • If the specific message via which the patient requested another reminder is manually removed in Intiveo, we’ll also cancel the Remind Me Again message in order to give users more control over this sort of message, which doesn’t appear in your message queues in Intiveo

       

      • Note: you can manually remove a specific reminder for a specific patient’s appointment in Messages > Appointments > All Appointments

         

    • If you deactivate the appointment type or provider of the appointment related to the Remind Me Again message after the message was requested, the Remind Me Again message will be cancelled.
  • We’ve updated the search bar in the Calendar view of Appointments so that multilocation accounts with very large numbers of providers can still use the search and checkbox functionality as intended. This will enable Willamette or university clients (who have potentially thousands of providers) the ability to use the Calendar view to look over their schedule.

     

  • We’ve updated several parts of the user login interface so they appear in French if your browser is set to prefer French. There are a few additional fields to be updated in a future update.
  • We’ve fixed a bug with multilocation accounts and the Social Reviews feature that would sometimes lead you to a dead end when you followed a link to a negative experience response from an alert email. When a patient texts back that they didn’t have a good experience, we can send your office an email, which contains a link to that patient’s message history in the Chat section. Previously, this link would sometimes lead you to a dead end if you didn’t have the patient’s office selected. This email link will now cause you to be first logged in to the correct office so that when we open Chat for you, you’ll be able to see that patient’s conversation as expected.

     

  • We’ve completed the Region Report for the Social Reviews section of Global Insights

  • We fixed an annoyance in the New Conversation modal in Chat. If a user enters a name in the search bar and doesn’t get a match, they can hit Enter on their keyboard to open the New Conversation search modal. Previously, the cursor did not start in the first search field, so the user would have to use the mouse to click into the field and hit Enter again to start the search or click on the Search button directly. Now the user’s cursor will jump to the first field after the modal is opened, so they can start the patient search without lifting their hands from the keyboard. In other words: enter name in the search bar for active conversations, find no matches, hit Enter to open the new conversation modal, and then Enter again to immediately search (assuming the names are in the right fields). This small tweak should make it easier and more pleasant to start a conversation in Chat.

When a reminder linked to a form is sent, our system should now include a link to the more recent version of your form (unless the patient has already begun filling the old version via a link in an earlier reminder for the same appointment).
  • We’ve fixed a Forms bug that prevented patients from seeing the column header labels for Select One questions if they viewed the form on a smartphone in portrait orientation.

  • If a patient doesn’t respond to their Social Reviews initial message (Did you have a great experience?) within 7 days, the system will now stop expecting a Yes or No response. Instead, it will consider any incoming messages after that point like a Chat message (unless another message like a confirmation reminder has gone out in the interim and is now awaiting a standard response). This will prevent the system from asking a patient to respond with just Yes or No months after the initial message was sent as was sometimes occurring before this fix.
  • We fixed a bug that prevented appointment types containing a special character like > from appearing on the appointment or recall reminder Overview page.
  • We fixed a bug that was preventing you from downloading more than one file at a time via the Referrals transferred files modal. You will once again be able to tick the checkboxes for multiple files and download them all in one go.
  • We fixed a problem with CSV uploading for notifications that caused our system to misinterpret quotation marks as column separators, which was screwing up how we interpreted that data. The CSV interpreter will once again consider quotation marks as a method for accurately rendering a cell’s text (i.e. additional markers for where the data cell’s contents starts and ends) not markers of separate cells altogether.
  • We’ve fixed a bug that allowed you to find deleted patients among the search results when searching for a patient to start a new conversation with in Chat. The New Conversation search modal will no longer show you deleted patients among the search results, and the banner that warns about another patient sharing the same contact info will no longer appear warn you about deleted patients.
  • We’ve fixed a bug with grouped reminders that would cause the pre-med reminder to be left out in cases where one or more family member included didn’t require pre-med. If at least one of the family members requires pre-med, the reminder will include the pre-med message (assuming this option is active in your message settings and is supported for your scheduler integration).

     

  • We’ve fixed a bug with Referrals that prevented external users from logging in to a second office after first logging in to another. The second office’s login page will no longer automatically redirect the user to the already logged in office when the user continues to the second stop of the login process. In practice, this means that if the office referring to you also refers to another Intiveo client using Referrals, they’ll have no problems switching between your offices.
  • We fixed a bug with the Close button in the transferred files modal of Referrals. Sometimes after downloading several files, the Close button would be disabled, so the user would have to use another means to close the modal. This is now fixed, and users can click Close at any point to exit the modal.

     

  • We fixed a bug with the quarters available to select on the Executive Summary page of Global Insights. As much as I wish there was a Q5 each year so I could fit more in, it just wasn’t meant to be. Users will no longer see a Q5 option in the date range drop-down.
  • We’ve fixed a bug with the verification emails for referral users who aren’t Intiveo clients. When you invite another office to send you referrals, they should once again be able to verify their email address and login without a problem.

     

  • We fixed a bug that was causing certain icons like sort icons and drop-down arrows from correctly displaying on the Global Insights interface. You should once again see all of these little indicators to let you know that you can interact with those interface elements.

     

  • We’ve updated the onboarding summary for new offices to reflect the current processes and expected timeline for getting your account up and running efficiently.

      • The new Global Insights Dashboard gives you a snapshot view of how your organization is doing as a whole
      • Use the Insights tab to gain quick, actionable advice on which offices could use some extra help or which deserve praise or could serve as a model for others
      • Use the Reports tab to gain organization-wide stats on patient engagement and confirmation information, or tailor your report to hide offices that don’t meet a certain threshold or that aren’t part of a user’s regional responsibilities.

  • We’ve fixed a bug that was affecting the surveys that had more than 5 options on their satisfaction questions. If a patient opens the survey on their smartphone in portrait orientation, they’ll now be able to horizontally scroll to see all the options, and the labels for all options will be correctly displayed.
  • We fixed a bug that was causing a much longer wait than expected for referral senders with lots of past referrals whenever they accessed their existing referrals page to check or update the status of a patient’s referral. This page is now zippier so you can quickly get in, make your update, and move on with your work.
  • OrthoNovo accounts can now configure the meaning of their appointment statuses in Intiveo, giving you more control over which appointments Intiveo will pay attention to on your schedule.
  • Added several missing translations on the French interface for users who prefer French.
  • We corrected a bug with the notification creation interface. If you set up a notification and set the recipients using a CSV spreadsheet, you’ll get a more accurate estimate of the approximate recipients.
  • We fixed a bug with the Forms interface that was causing archived forms to sometimes be included in the tally of unread forms.

  • We’ve released the Tasks feature in Chat!
  • A wizard will introduce you to this new feature the first time you log back in to Chat after the update
  • Using a toggle at the top of the patient selector column, you can now toggle between your Recent Conversations view and Tasks view of Chat
  • The Tasks view gathers chat tiles for patients who fit into certain categories that relate to some of your most common daily tasks:
  • Unconfirmed Appointments allows you to see conversations for patients who have appointments coming up (default: next day) and who still need to confirm. You can view one appointment date at a time, filtered down to just the unconfirmed appointments, making it easier to quickly read through the chat conversations for those patients to look for cancellations or to reach out again to confirm manually via the Tools panel.
  • Due Soon Recalls allows you to see patients with a due date coming up (default: same day next week) and who still need to book an appointment.
  • Overdue Recalls allows you to see patients with a recently past due date (default: same day last week) and who still need to book an appointment.
  • These lists all have auto-update functionality, so if a patient no longer matches the criteria (e.g. their appointment is now confirmed), they’ll automatically be removed from the list
  • The lists also automatically track recent contact via a subheader, which means your progress is automatically tracked even if the patient doesn’t confirm their appointment or book a recall/hygiene appointment.

 

General Enhancements and FixesIMPROVEMENT

  • We’ve fixed a bug with the actionable recall reports in the Recalls section. The Due Soon and Overdue reports will now include due dates that previously had a message marked as Appointment Booked but are currently unbooked. This would usually happen if a patient had an appointment booked for that due date but then cancelled the appointment.
  • We’ve fixed another bug with the Chat timestamps. Certain messages in certain cases were being assigned the wrong time because of a time zone conversion problem. You should now see all Chat messages labelled with the send time converted into the time zone set for your account.
  • We’ve improved the performance of the unread Chat message bubbles that appear on the left navigation bar. You should see more consistent numbers that don’t appear temporarily inflated while Intiveo loads and checks new data as you move around your account. We’ll also hide these unread notifications while your Chat system is set to out-of-office mode (while Chat is temporarily turned off).

  • Fixed a bug with message blasts that would prevent you from sending the message to a patient if their preferred language wasn’t one you had enabled in your account. For example, if your account only had English enabled and the patient’s preferred language in your practice management software was Spanish, messages blasts weren’t being delivered to that patient. The patient will now receive the language that is available even if the message blast isn’t available in their preferred language.
  • We’ve fixed a bug that was making it impossible to search for patients with a period (.) in their last name. Searches for patients with a name like Satya St. John will now work as expected.
  • We’ve added some more missing translations for the French version of Intiveo’s interface. This should make it easier to understand all parts of Intiveo if you prefer to use our app in French.
  • We’ve updated the styling for the Chat interface in cases where you have no conversations active or where there are no matches when you search for a patient name in the left column. These changes will highlight how you can start a conversation directly from the Chat section.

  • The friendly name for the email sender will no longer be Emailer when you send a standalone form, resend an existing form, when you send a message blast, or when you send any other manually triggered system-generated messages. We’ll instead use your company name (or head account name for multilocation accounts that have the use head account name setting active), which should make it less confusing or suspicious for patients and increase the likelihood that they’ll engage with the linked resource.

  • We’ve added a new enhancement to the Chat interface’s responsiveness:
    • You can now toggle a two-panel version of the normal 3-panel Chat Upgrade interface
      • At very small window widths, the Tools panel will automatically hide itself
      • While at these very small widths, you can toggle between the left and center or center and right panel views
      • At larger widths, the interface will display all three panels by default and you can switch to the left and centre or centre and right views at will
    • If you resize your window to a narrow width (snapping to the two-panel view) then resize the window to be larger again, we’ll automatically snap back to the 3-panel view. If you make a manual selection while at the lower width, we’ll keep this selection even if you resize the window larger until you refresh the page or manually switch back to a different view.
  • Fixed a bug with the quick add button that allows you to insert a chat template into the text entry box in Chat. This button was displaying disabled styling even when it was enabled—it still worked, it just gave you misleading visual feedback. This has been fixed.
  • Fixed a bug that prevented you from using the Return or Enter key on your keyboard to start a patient search in the Chat Upgrade’s new conversation flow.

:speech_balloon:Chat Upgrade NEW & IMPROVEMENT

  • All clients can expect to see this update by the end of May.
  • We’ve added in the Add Note functionality to the Tools panel of the Chat Upgrade, so you can now easily leave notes on your appointments and recalls via the Chat interface. These notes are just displayed in Intiveo: they’re not automatically added to the appointment details in your scheduling software, but they should make it easier to keep track of appointment- or recall-related information for that patient without having to leave Intiveo. Notes are shared/merged across multiple appointments or due dates for the same patient on the same date to avoid confusion that might result if you clicked on one or the other appointment/due date on that date and missed the other’s notes.
  • Fixed a permissions issue that prevented multilocation account users from seeing the Chat browser notifications settings on the My Profile page in certain cases.
  • We’ve updated the ordering logic for the patient selector tiles in the Recent list in Chat. Newly added conversations can now move down the list if new messages come in after the conversation is started, and the order sorting should be more consistent and predictable overall.
    • We’re continuing to make improvements to this, particularly around automated messages triggering new conversations or floating conversations to the top. You can expect more changes in the coming releases to improve this behaviour.
  • Fixed a bug that would sometimes lead you to a blank page when you tried to start a conversation with certain patients in the new Chat interface.

  • Fixed a bug that resulted in the Reviewed by Doctor section not being appended to exported form PDFs in certain cases.

Referral Management Enhancements IMPROVEMENT

  • We’ve updated the allowable file types that can be transferred via Referral Management to include STL files. You can now send and receive 3D scans of patients' teeth worry free.
  • Fixed a bug on the referral portal where the illustration would overlap the text entry fields used to log in if a referral sender was using a small screen (like a smartphone). At small screen sizes, we’ll now hide the illustration to prevent any unintended interactions.
  • We’ve updated some missing translations for the Referral Management settings page. Francophone users will now see all of these settings in French.

  • Fixed a bug that was unintentionally showing 0% as the average for questions on surveys that so far had zero responses. We’ll now show N/A in these columns if there aren’t yet any results to display.
  • Fixed a bug with the button width in email notifications created in Stripo. Customizations in the properties panel will now be saved properly once again.
  • Fixed a bug with message blasts that sometimes resulted in some of the selected patients not receiving the message despite their having appropriate contact information. Our system was failing to properly consider the account’s contact sequence, so it wasn’t finding the right contact info.
  • Fixed a bug that caused the Credits Report tab to be visible at the office level of multilocation accounts. This page only makes sense at the global level for these accounts (since all offices in the account share a phone number) so we’ve hidden the Credits Report tab at the office level. Users can still see a per-office breakdown of credits usage at the global level in the reports section.

  • We’ve changed the default sort order on the Submitted and All Forms reports so form results with the most recent Completion Date will appear at the top. This should make it faster and easier for you to find the forms you care most about.
  • We’ve fixed a bug related to Forms submission in cases where a patient doesn’t have a preferred language in your system and where the patient hasn’t selected a language on the form in question because your account only supports one language. We’ve enhanced this so Forms can deal with these cases gracefully and infer the correct language.
  • Fixed several bugs related to resending forms to invalid contact information. We’ll now provide you clearer feedback in these cases so you understand that the form couldn’t be sent via that method.

Referral Management Enhancements IMPROVEMENT

  • We’ve completed work on our latest post-release Referral Management enhancement.
    • You can now mark almost all fields on your Referral submission slip as optional or hide them altogether. Previously most fields were mandatory to improve reporting completeness for your office. These changes will give you more flexibility over what you collect from your referring offices in case they complain about having to fill out the referral slip completely.

General Enhancements and FixesIMPROVEMENT

  • We’ve improved the user experience in cases where a user has view-only permission to the Appointments section. Previously, a user could click on certain buttons for actions they didn’t have permission to complete, and we’d show them a permissions error page. Instead, we’ll now hide or disable interface elements related to these actions so these users don’t hit any dead ends.
  • We’ve fixed several cases where a user might hit a dead-end error page in cases where they try to save something invalid (like a blank active message setting or a notification email address that doesn’t have an @ symbol). You’ll now get clearer feedback about what went wrong and how to correct it before trying again.
  • Fixed a bug with the calendar view of appointments for multi-location and grouped single-location accounts. Recently, you weren’t able to see data or change the dates displayed. Data should once again appear as expected and dates should be switchable again.
  • We’ve completed work on an update to the sending logic that we’ll be releasing soon.
  • Intiveo now offers Single Sign On support for select identity providers. If you’re interested in learning more about this feature and whether it’s available for your preferred identity provider, consult our help centre.
  • Added some additional translations to parts of the French interface that were missing translations. We’re always on the hunt for English snippets that sneaked through and we’ll continue squishing these bugs as they are found.
  • Completed the initial work on a large enhancement coming to a popular feature, which is now entering end-to-end testing for the next month before release. We’re excited to share more information soon.

:clipboard:Intiveo Forms Enhancements IMPROVEMENT

  • We’ve updated the naming convention for Forms PDFs. When you download a copy of your form, we’ll now use the form version name rather than the form type in the file name. This gives you more control over what your form PDFs are named, so there’s less confusion if you use a form type that’s not an exact fit when transcribing a form for your office. For example, if you create an “Assignment of Benefits” form under the “Procedure Consent” form type, the file name will be John Smith - Assignment of Benefits - 2023-01-31.pdf instead of John Smith - Procedure Consent - 2023-01-31.pdf.
  • Fixed a bug that preventing PDF export of form results in cases where the version name included slashes (/ or \). Slashes will now be automatically removed from the form version name when you save the form version. We recommend an ampersand (&), plus sign (+), or “and” for these situations.
  • Fixed a bug that resulted in some family members' form links being omitted from grouped family reminders in cases where several family members had appointments that required the same type of form on the same day. Our system intentionally prevents sending the same form version to the same patient for the same day (for example, if they have a New Patient Cleaning and New Patient Exam appointment on the same day, they don’t need to fill out their new patient form twice even though it’s associated with both of those appointment types). However, this logic was mistakenly being applied across family members. Each family member will get up to one copy of each required form now.
  • Fixed a bug that allowed the status for a form to be updated from Sent to Failed in cases where it succeeded via an earlier contact method but failed via a later one. We recently fixed a related bug that would prevent the status from being updated from Failed to Sent in cases where the reverse happened (failed via an earlier contact method then succeeded via a later one), so this week’s fix brings these status update improvements full circle. Forms can now change status from Failed to Sent but not from Sent to Failed since the important information is that it succeeded via at least one method.
  • In cases where you try to resend a form to a patient whose contact info has been removed, we’ll now provide clearer feedback so you understand that we can’t resend the form and why.
  • For forms that can be filled in more than one language, the form result will now be displayed in the language that was active at the time the patient submitted the form. The language the patient used will override their usual language preferences when you view their form so you seen the form as the patient filled it. For example, if a patient can choose to fill a form in English or French and they submit it while the form is displaying the French text, you’ll see the completed form in French, even if that patient usually prefers English because French was the language the patient had active for that form at the time of submission.
  • Fixed a problem with grouped family reminders that caused only one of the family members' form links from being included in cases where more than one family member were supposed to receive the same form version in the same reminder. Each family member will now receive their own version of the form if needed, even if another family member receives the same version at the same time.

General Enhancements and FixesIMPROVEMENT

  • We’ve enhanced the Select All checkbox for message blasts to make it clearer when you’ve selected all patients then deselected some. Once patients have been deselected, the Select All checkmark will become a minus symbol to show that there’s a mix of selected and deselected patients on the report. If you click on the Select All minus symbol, all patients will be deselected so you can start the selection again from a fresh start.
  • We’ve added your Customer ID to the Subscriptions page. This ID can be useful when following up with our team about certain billing requests, so this change will help speed up these requests.
  • Various other small bug fixes and continued work on some feature enhancements to be released in the next few months. Stay tuned!

:clipboard:Intiveo Forms Enhancements IMPROVEMENT

  • If you delete a form version for which you’ve already received submissions from patients, you’ll now still be able to see those submitted results in your Forms section reports. In other words, deleting a form from your settings will no longer also hide any completed forms of that version from your account.
  • Released an update to the styling of checkboxes and choose one questions on Forms PDFs. If a patient selects an option or ticks a checkbox, the dot or checkmark will be darker on the exported PDF version, making it easier for you to skim completed forms to find relevant information.
  • The language selector on your Intiveo forms will now respect your account’s language settings. If your account has only one language active, your forms will be locked to your default language, and the language selector will be hidden. For accounts that have more than one language active, only your active languages will be available for the patient to select, even if the Forms template you used contains data for additional languages.

Referral Management Enhancements IMPROVEMENT

  • Added in a new Referral Management Logo option in the Account settings, which offices can use to define a smaller logo to be used on the pages where an external referral sender submits or checks the status of referrals. This will make it easy to set a separate, smaller banner that better fits the shorter header bar on these pages.

  • We fixed a bug that prevented some multilocation accounts from editing their message blast templates.
  • Fixed a bug related to when we add a note to a patient’s file in Intiveo when sending a message blast.
  • If you use the Social Reviews feature, it’ll now be easier to see which patients responded “no” to your social reviews messages. The links in your alert email will take you directly to that patient’s chat conversation.
  • Fixed some cramped spacing in the preview modal for the Social Reviews message in multilingual accounts. The language toggle will no longer butt up against the positive/negative toggle.
  • Changed the default selection for the Recipients drop-down when creating a new notification so the default is now Upload CSV. This is just a quality of life improvement that will help prevent embarrassing human errors in cases where you’re in a rush to send something out.
  • You can now find a timestamp in your user logs to track when a user in your account updated the credit card information associated with your subscription. This will make it easier to track down when changes were made.
  • Fixed a bug with the date picker for the send date in notifications. If you create a notification with no send date by saving the notification before reaching the last step, then when you reopen the notification, you’ll no longer run into an invalid date error when trying to set the send date for the first time. The calendar will default to the current month so you can pick a date as intended.
  • Completed an enhancement to help archive chat messages more efficiently to improve loading times in the Chat interface.
  • Various other enhancements or bug fixes related to features that will be released later this year. We can’t wait to show you, but they’re not quite ready yet. Stay tuned!

  • Released a bug fix for the slow-loading Forms global level reports for multilocation accounts. This will significantly reduce the load time for these pages.
  • For users of Forms Enhanced, we’ve fixed a bug that caused blank responses on integrated forms to overwrite the existing value in a your database if a patient didn’t provide information on a form for a field that you already filled out in your practice management software.
  • Fixed a bug that caused Yes/No (True/False) questions on forms to show up in the wrong language in multilingual accounts. Patients will now see the correct language displayed for the question text when filling out their forms.

  • We’ve added an option to include hyperlinks in the read-only text sections of your forms. This is useful when you want to link to your privacy policy, parts of your website, separate post-op instructions, or any other case where you want to make it easier for patients to view an external page.
  • Forms Enhanced users will no longer be able to tick and save the Integrate to Scheduler option on completed standalone forms if they have not already linked the form to a specific patient.
    • This is so we know in which patient’s file we need to put the finished form.
    • We’ve also added a tooltip next to this checkbox while it can’t be clicked so you can easily understand what you have to do before you can integrate the completed form.
  • Improved how long lists of related appointment types are displayed in the Forms version overview, so it easier to see at a glance all the versions of a specific form type and easier to read the related types if you choose to expand them.
  • Fixed a bug in the Subscriptions section that made account credits appear like added costs in the line item cost breakdown. (This didn’t affect the amounts charged or the addition in our billing software—the minus symbol just wasn’t being displayed properly on this page.)
  • We’ve fixed other several small bugs throughout the app to improve your experience using Intiveo
  • We’ve improved the logic for displaying form results in an appropriate language if you have forms in more than one language. You’ll now see the form results in the patient’s preferred language (if set) or in your account’s default language (if the patient’s preferred language is not set).
  • For Forms Enhanced users, we’ve fixed a bug with the window that appears to confirm that Intiveo is trying to integrate your form results to your patient files. This window will no longer be automatically cleared when the page refreshes to show you up to date form results, which means you’ll have a reasonable amount of time to read the window’s text.

Referral Management Enhancements IMPROVEMENT

  • We’ve enabled transfer of DICOM images via Referral Management. This is a radiography-specific image format that includes metadata on the date of imaging and the patient’s identifying details. Since it’s becoming more common in oral surgery in particular, it was a natural fit for our referrals feature.

  • We’ve fixed a bug in the Setup tab of the Notifications section. You can now view non-urgent notifications by default, without having to clear the Urgent filter.
  • Intiveo will now check that an email address follows a valid format (aaa@bbb.cc) before trying to send an email or before including that email address in the tally of recipients for a message. This means you’ll get a more accurate estimate of the recipients of a message blast, notification, or similar message.
  • We’ve updated the user permission behaviour for the Appointments and Recalls sections to make it easier for you to restrict users from sending certain types of messages.
    • Users who have view-only permission to Appointments or Recalls will now be unable to create, edit, or send message blasts for the related section.
    • Likewise, users with view-only access to these sections will also no longer be able to manually send messages from the All Messages queues.
    • Together these changes make it easier to prevent users from sending (intentionally or unintentionally) thousands of patient messages in one go.

Standalone Forms

  • Intiveo is excited to release our new Standalone Forms enhancement to all subscribers of our Forms feature.
    • You can now manually send a form to a single patient without having to link it to an appointment or appointment reminder.
    • You can now host a static link to your form on your website, allowing anyone to visit your site and complete their form manually, even before they’re a patient.
    • We’ve made various other enhancements to the Forms interfaces to support these enhancements.

Form Types

  • We’ve added two new form types to the Forms Essential and Forms Enhanced features.
    • The photography consent form type will allow you to send a separate form to gather consent for taking and using photographs of patients.
    • The financial agreement form type will allow you to send a separate form to collect a patient’s agreement to your office’s payment policies and statement of financial responsibility.

General Enhancements and FixesIMPROVEMENT

  • Added a calendar view of Appointments for multi-location accounts.
    • We’ve added a new searchable drop-down component that you can use to select which providers’ schedules you want to display on the calendar.
  • We’ve updated the Undeliverable Recalls actionable report to widen the filter options so you can more easily find patients with past due dates whom Intiveo couldn’t reach.
  • Fixed a bug with the search results in the Patients section. You will once again be able to filter the results based on patient status.
  • Various other fixes and enhancements behind the scenes to improve your experience using the app.

Other notes:

  • Intiveo will now collect the Tax ID and Legal Company Name of clients in the US in order to make sure your text messages are delivered to your patients.
    • After October 28, 2022, in an effort to cut down on the number of spam texts, before American phone companies pass text messages to their customers, they will be checking a sender’s credentials. By entering this information in your account settings, you’ll help Intiveo ensure that your text messages reach your patients.
    • Note that this information is not required from clients outside of the United States.

Our Forms Enhanced product is now integrated to Cleardent! Leverage our growing roster of form templates to save time for both your clinic and your patients.

Forms Enhanced allows clinics to easily upload PDFs directly into the PMS right from the product, and for New Patient Forms, we’ll even copy over patient responses into the PMS as well.

Enhancements to Form Loading Times

We have recently made changes to the way we save Forms, which means that over the following weeks, your clinic should see major improvements to waiting times when loading Form Results.

‘Failed to Send’ Status

Previously, users were unable to see Forms that failed to send to their patients. We have now added a new status to make it easy to tell when a Form was unsuccessfully sent to a patient, while also allowing users to click the link and directly resend Forms on the same page.

We’ve added several performance optimizations to our Chat module to ensure that when you click on the Chat module, your patient conversations load quickly. Also, to avoid a pile-up of old patient chats from loading, we will automatically ‘Stop Chat’ and close any patient chat windows that have a last message time stamp of 30 days or older - but don’t worry, you’ll still be able to search the patient’s name and bring up their chat history in the future if needed.

Birthday Messages will Not be Sent to Invalid Birth Dates • NEW

In certain schedulers, patients without a date of birth are defaulted to an invalid date. Updates have been made to our Birthday Message sending logic to exclude these invalid birth dates.

We have improved our text appointment reminders to detect patient confirmations when the original reminder message is immediately followed by a Wellness Screening Survey text message.

 

Update to Pre-Appointment Wellness Screening Survey Sending Buffer • IMPROVEMENT

We have improved our Pre-Appointment Wellness Screening Survey sending buffer logic. If you add or move an appointment to the 48-hour window after a survey or COVID screening was supposed to be sent, then we will still send that survey to the patient.

 

Create Custom Reminder Categories • NEW

You can now create custom Reminder Categories to label related Appointment Reminder Settings. These reminder categories won't affect who we send messages to, but they make it easier to figure out which reminder settings to adjust if you ever want to edit the reminder sequence for a group of appointment types.
