How to Sign Up/Sign In
Signing up
Direct referral link
If you have clicked on an Intiveo user's referral link either from their website or they sent it to you manually, you will see a field where you can enter your email address and phone number. After you enter this information click the verification checkbox and click Next.
An email will be sent asking you to verify your email address and you can click the Resend Verification Email button here if you have not received the email. Click the Verify Email Address link in the email to begin registering your office. When you click this link you will be taken to a sign up form.
After you click the Verify link you will be taken to a sign up form where you can fill out your office's information.
When you're finished, click Save. The page will be refreshed with a notification that your user has been created and you can now log in using your email address, phone number, and the password you created on the signup form.
Invitation
If an Intiveo user has sent you an invitation to send or receive patient referrals to/from them you will receive an email from them directly. Click the Get Started button to begin registration.
This will take you to the sign up form where you can fill out your office's information.
When you're finished, click Save. The page will be refreshed with a notification that your user has been created and you can now log in using your email address, phone number, and the password you created on the signup form.
What if you already have a user?
If you try to click the Get Started link in the email to sign up Intiveo will automatically detect whether your office already has a user. If you do, you will receive a hint for the email address your office already used to sign up. Simply go back to the previous page and sign in using the email address. If you have forgotten your password, you can use the forgot password link on the next page after entering your email and phone number.
What if an Intiveo user wants to send/receive referrals with another Intiveo user using referral management?
If your office uses Intiveo for your appointment reminders, when you sign up to send referrals to another Intiveo user, you’ll be directed to log in with your Intiveo user. Intiveo users can send referrals directly from their main Intiveo account: simply sign up on the receiving office’s referral page, and a section for referrals will be added to your account automatically. Sending referrals is always free and will not increase your subscription fee.
What if both Intiveo users have referral management?
Just like the situation above you will be prompted to log in with your Intiveo user if you used the same email address as the one you use to log into Intiveo. However, both offices will need to sign in using their respective referral link (please see this article for more information on where you can get this link) in order to begin sending or receiving referrals from one another. This will add them as a linked office which allows both offices to send or receive referrals to one another directly from Intiveo.
Sign up form
The sign up form is where you fill out your office information. Below are the details on certain parts in this form.
Office information
After your email address is verified, you’ll be brought to a user registration page, where you can enter information about your office. On this page, you should enter the information for your office (the sender), not the office to which you’ll be sending your referrals. This information will be attached to the referrals that you send so the office receiving your referrals knows who sent the referral.
Provider setup
On the user registration page, you have the option of specifying which providers at your office will be sending referrals. These are the providers you’ll be able to select from when sending a referral so the receiving office understands exactly who at your office is referring a given patient. You can give these providers custom names in whichever format makes the most sense to you, such as Dr. Frederick Banting or Best, Charles.
Add as many providers as you’d like: you can create one for each doctor at your office, or if you’d prefer you can also use a single provider for all the referrals at your office.
Password creation
For future logins, you’ll use your office email and password to sign in. When you begin typing in the password field, the password requirements checklist will update as you fulfill the requirements. All passwords must contain at least 8 characters, an upper case letter, a lower case letter, and a number. You can always reset your password if you forget it, but it’s a good idea to save it to your browser and to mention it to other users at your office who will be submitting referrals via Intiveo’s tool.
Terms of use
The last step for user creation is agreeing to the terms of use. Intiveo’s software is designed top to bottom to comply with all HIPAA and PEPIDA requirements so that your patients' data remain safe and secure. To read the full contents of the terms of use, simply click on the link and a panel will open with the full text. If you’re used to working in healthcare, the responsibilities and limits of liability mentioned will be familiar.
Submission and user creation
Once you’ve filled in all the required fields on the user creation page, you can submit the information to create your user. If you missed anything, or if any of the information doesn’t meet the requirements, the field you’ll need to update before creating your user will be outlined in red.
Once you submit your user information successfully, your user will be created, and you will be able to start submitting referrals immediately. The receiving office won’t see your referrals until they approve you as a new sender, but any referrals you submit in the intervening period will be safely kept in waiting and will become visible to the receiving office immediately after they approve your user.
Existing users registering to refer to a new office
Intiveo makes it easy to refer to multiple specialists without having to create a new user for each office. If you already refer to one office using Intiveo’s referral portal, you can log in with the same user to any other offices who receive referrals through Intiveo. Simply log in with your existing user email, office phone, and password using the other offices referral link and you will automatically be added as a new sender for that office.
Signing In
To sign in click on the referral link from the Intiveo user's office and enter the email address, phone number, and password you signed up with.
After you log in you will be taken to the main page of the referral portal.
